  RMRR Dec 2010 Minutes:

  • This is Deb C’s last board meeting as President.
  • The board members have been confirmed for 2011. Doug Smith, Heather Ready, & Aurora do not want to be on the board in 2011.
  • Combined calendar w/ Masters .  Needs a revision – David R will follow-up.
  • Sandra Clemons – photographer – Leslie said that she will see Sandra on Wednesday to confirm if Sandra will be there on Sunday.

Volunteers:

  • Vol & RD awards
    • RD Award:  Doug ordered Asics shirts.  Volunteer awards? Deb will follow-up with Doug/Bonnies to see if the jackets have been ordered.
    • Volunteer of the year Award: Names of potential award nominees were identified.  Deb to coordinate vote
    • Award for the 2010 TS winners: Hillary & Deb will look for some award to get for the TS winners.
    • Volunteer & Awards Banquet, Sunday January 23rd  at 6:00 P.M at the Fox Hollow gulf club house.

2011 Club Goal:

  • Hood to Coast movie.  Club will promote event minimally in our January eblast and on the website or face book page. 
  • Find a Track to use somewhere in Denver.  Deb to follow-up  w/ DPS contact in January.  South HS would be ideal location.
  • 5K races for TS races that are 5 miles or longer. Starting in January since the January race is a 10K. Will use bibs for the 5K race.  Cost will be same as TS.  Free for members, $10.00 for non-members.  Awards for fast Male & Female in the 5K TS Races.  No season points total.  5K results don’t count towards full year TS standings.
  • Father’s day one mile race, on a Friday Night in June. The race committee will find a place to have this race.  Work w/ Ray on logistics.

Logistics (30 mins)

Dec Race: (Lisa Chapeau)  

  1. Ben White/Brown Elementary School – kids will be running again, but will only run 1 lap, 2.3 miles. Cost is $2.00 per kid capped at $30 for the group. The kids will wear bibs.
  2. Vols, may be a few short, but might be able to get by with who is signed up to Volunteer.
  3. Need to buy more pins for the TS race tags! & with the additional races in 2011.  Hilarie will purchase some pins.

Race Committee: (Bob Bessie, David Rothenburger, Dave Cook, & Mike Quispe)

  • 2011 TS schedule:  The September TS race will be Saturday September 10th.
  • 2011 MTS schedule, August 14, & August 28th. Dave R will e-mail any changes to the MTS schedule to Deb C.

 Training:

  • Training: Wednesday night training run at Riverfront at San Fe & Hampton. Meet at 5:45, start running at 6:00 P.M. 

Membership: – Eric Green

  • Membership is down – 349 families Apr 2010 vs 320 families now.   500 members Apr 2010 vs 462 in October.
  • Board agreed that we will not make phone calls to members. Will suspend calling members.
  • Next board meeting will be January 3rd at the Whole Foods on Colorado Blvd.

October 2010 Board Meeting

In attendance Ray Sibley,  Holly Whelan, Deb Cunningham, David Cook, Jeff Olson, Scott Kukel, David Rothenburger, Mike Quispe, Ken Shimada,

Successes:  MTS: 87 attended yesterday’s MTS.

Volunteers

  • 30 hr gift: Get Jackets.  Choose colors via email.
  • Race directors get sleeveless shirts.  Men chose red.  Women – Sangria.

Volunteer of the month, Sharyl Riley for work at MTS, TS

Ideas for club focus from last TS:

  • More TS races on Saturdays.  Will have three:  April, September, & October.
  • Beer after the races – Try to do this for the August potluck race.
  • More races on Saturday – looking at 3 for 2011.
  • Athlinks – will post times w/o gross time.
  • Encouraging non-runners:  business cards for RMRR that you can give to a friend, to running stores.  On the back is a notation that the bearer gets a free TS entry.
  • Evening run in the summer.  Club is going to do a “Father’s Day mile”.  We’ll have prize money and it’ll be a non-TS event.  Ray Sibley volunteered to be RD.    Looking at Friday, 6/17, which is two days before Father’s Day.

2011 Race schedule:

  • MTS for 2011: Sept 25th, Oct 16th.  Uncertain when to have third race.  August is too early, but Labor Day is hard to schedule around.
  • David R. has the tentative schedule for the 2011 TS Races.

Logistics:

  • Get to know you, introduce yourself if you are starting with someone
  • OCT TS Race, Stephanie has sent out an e-mail blast requesting Volunteers for this Saturday’s race. Ray will drive the van to the race course. Rick R. will have the equipment with him to set up & mark the course.
  • Treasure’s report: NA at this time, but from last month’s report, the club is in pretty good shape.

September 2010 Board Meeting

Board Meeting minutes, Sep

In attendance: Deb Cunningham, Jeff Olson, Bonnie Keefe, Doug Smith, Melissa Field, Bob Basse, Stephanie Struble, Eric Greene. Lisa Champeau.

Club Goals:

MTS: 65 attended the Aug 29th MTS. Race went really well.

Fun night: Not working.  Idea – see what regular TS runners want out of the club.  Start by asking them to write it on the raffle prize entries at the next TS.

Logistics:

Races:

  • RMRR Sep TS is at Trail Head Park. 88th & Co Blvd.
    • Sep TS, Short on volunteers.
    • Better map is on the web site.
  • Sept 11 MTS: Dave & Deb are race directors.

Treasure’s report: the club is in better financial position than last year.  Reasons:  increasing the fees and increased fees from Space Age.

Race Committee: Need a replacement course for Stone House & Cherry Creek.  Bob will work w/ committee to check out courses.

Permits for next year: Bonnie and Janet Fairs will continue to work with permits for next year’s TS races.  Deb will ask new person at track if she’s interested.

Board meeting location:  meet at Whole Foods on Co Blvd for the October board meeting.

Board agreed to give members a new 12 month membership if they renew expired memberships several months late.

Volunteer awards:

  • Board agreed on fleece jackets for the Volunteer Award.  $16.50 each from Ouray.  Will choose color at next board meeting.  (Bonnie coordinate)
  • Agreed on teh Aisics shirts for RDs.  Doug will coordinate colors/sizes. 

Volunteer of the month: Ray Sibley for work at MTS and TS.

Marketing/PR:

Have the Steel water bottles for people that have run or volunteered at 10 races, (min of 5 road runner) in the last year.

Succession Planning:

  • Adam Lee has taken over the records.
  • Sharyl could take pictures at the TS races or help out with the TS race permits.
  • Ken Shimada – running store person?  Stephanie ask.
  • Becky MacKay – work with Stephanie on volunteers?  Deb introduce Becky to Stephanie.
  • Diane Wood from track – pictures/permits?

August 2010 Board Meeting

In attendance: Brian, Mike Q., Deb, Kevin, Jeff, Dave C, Mike B., Bonnie, Doug, Dave R. Adam Lee.

Successes:

  • Fair turnout for the July 26th fun run & Track Workouts: 15 to 25 attend every Wednesday night.

August TS:

Volunteers needed to cook the food.

  • Stephanie will not be running the TS race so she can help cook.  Yvonne Allmaras can probably help too.
  • Kids run, Deb has prizes for the kids that run the race.
  • Have 124 cans of soda pop donated from a 50k we lent equipment to.

MTS:

  • Road Runner Sports will help sponsor by donating 3 pr shoes for each race, aid station.  offered to have pacers.
  • Re:  pacers, didn’t commit because unsure of turnout.
  • In return, Road Runners have a group fun run from Road Runners sports store.  Store is south of 36 from Westminster City Park.  The bike path heading southwest goes near the store.
  • Board agreed.  Monday or Tuesday suggested for run. Dave will talk to Nate about setting this up
  • Discussed if we want > 1 store sponsoring MTS.  Board felt we should not because dimishes Road Runner Sports’ contribution.  Dave will ck w/ Nate.
  • Instead of caps, will order steel water bottles.  Get 250, 100 of which used for MTS.  Get a variety of colors.  Use full RMRR logo w/ runner and URL in white.  Words “Marathon Training Series” w/ or w/o year below the logo.
  • Kevin submitted another ad to Colorado Runner.  We’re not sure why our ad for the fall issue didn’t make it in.  We submitted it in time.

Scoring: Dave C will do scoring for 3 months, then Adam will do it after that.

Expense report: The club is doing better than we were doing at this time last year. Had a lot of one time expenses – clock, painting van.  Race income is way up, membership fees are up.  Space Age CU revenue is down.

Race Committee:

  • Lots of discussion about various courses to replace the 10 miler at Waterton.  No decision made.  Race committee needs to decide.  If race is in Denver, Janet Fairs handles permits.
  • Discussed
    • Long Lake in Arvada. Crossing 58 avenues could be an issue.
    • Some said to reverse the 9 & 10 mile race to give more time to find another venue.
    • Run 10 miles at Westminster in October & look for a new 9 mile venue…
    • Writers Vista
    • Cuernavaca
  • Looking for a new course to replace the Stone House course.

Meeting location:

  • Agreed that we will NOT conduct board meetings by phone.  Mainly due to the expense.
  • Too far south for some members.  Agreed we’d look for something more central.  Doug will talk to Whole Foods on CO Blvd about having the board meeting upstairs in their meeting room.  Kevin will talk to Janet Fairs about having the board meeting at the Denver public.

Awards & Trophies

  • Road ID tags as a backup gift for race directors or 30 hr vols.
  • Race director award:  Board chose the Aisics sleeveless tanks.   Doug will talk to Running Wild about ordering.
  • Volunteer award.  Bonnie will look at Fleece.  Call Ouray & Gearin’ Up.  Mike B will also look at some ideas for the volunteer gift.
  • Ideas for a trophy for the trophy series winners:  People want something a little different.  wine glasses were mentioned.  No decisions. 

Giveaway item:

  • Magnets: $2.50 each for 4-color, are too expensive.  Agreed to get cheaper 1 color version at $1.xx each.  Magnets will be black print on white background.  Use the mountain outline w/ “RMRR” underneath.  Kevin will work on artwork.

Volunteers:

  • Lisa needs volunteer hours from the July TS race.  David Rothenburger will send to her this week.
  • Volunteer of the month: Adam Lee for help on finish line at July race + future scoring.

Requests of club:

  • Active Endurance – no need to do anything.  This depends on user’s level of access in Active.
  • No to mental health of runners study.
  • No to Martha Stewart fun run.

Succession Planning

  • Adam Lee will do course records.
  • Mike Blanchard = new to board.   Prefers to be a member at large.
  • Reviewed list of potential names for board, split up into who will talk to who.  Idea by Brian Bergevin is to get people  involved by co-directing a race.  Future board members could build from there.
