Volunteer and RD Awards

Deb – gifts for volunteers and race directors.  Scarf/mittens/hat, water bottle and bag. 
 
Agreed – hat/gloves/scarf for volunteers; bag and gift cert or store credit at new RMRR online store (below).
 
David R will check with Doug and Bonnie on awards.

RMRR Store

Deb and Dave meeting Brand Expressions tomorrow night at 4:30p.  Possibility of RMRR online store run by them.  They began with the Flying Pig Marathon store, now offering their services to others.  We’ll see what costs and gear selection is before deciding.  Anyone welcome to join us at 1500 E 5th Ave in Denver!

Treasurer’s Report

Declining balances.  2010 – 2011:  membership dues are down, as is $$ coming from SAFCU.
  • Do have some incoming checks that help, but still a little low.
  • Trophy series $$ down.
  • Permits are up.
  • Expenses are down, too, though – doing a good job here.
Overall not doing bad – we’ve really reduced expenses with reduced income, and still have a lot in the bank.

January Race

Attendance was ok, conditions tough.  Well run as usual by Rochelle and Ric Robinette.  A few casualties with the slick course, but nothing big!

Fathers Day Mile – Deb report

Sponsors:  Ray is working on a cash sponsor.  If successful, will have shirts.
 
–>  Dave C will talk to Ed Riegert – sponsor the high school runners?  <$50 in gear – no $$ or gift certs
–>  Eblast through Colorado Runner?  part of promotion plan?  Dave C consider for promotion
–>  need to get course finalized.  David R will go out and run a loop and see what he thinks the best course is.

Marketing and Planning

Dave C strategic plan review.  Board generally likes plan, want to move ahead.  Focus areas:

  • New Members – make them feel welcome and get them involved.
    Ken Shimada will lead, working with Hilarie Ryals and Eric Greene.
  • Community – give more opportunity for members to do club activities and help all feel strong connection to RMRR.
    Dave Cunningham will lead.
  • Trophy Series and MTS – keep quality of core races high and encourage more participation
    David Rothenburger will lead with help from Race Committee.
  • Fathers Day Mile – build a special event that has local runner appear and raises club visibility.
    Deb Cunningham and Ray Sibley will lead.  Planned for Thursday June 14 evening at Denver’s City Park.
  • Promotion – develop a simple promotion plan to improve club visibility through key promotion channels.
    Dave Cunningham lead.
  • Sponsorship – actively engage existing and new sponsors to provide member benefit and build club interest.
    TBD – need an owner!!  Dave C is looking….

Each leader will need to build a plan outline with objectives, activities, needed $$ and resources, and a timeline.  Dave C will keep track of the overall plan.

Treasurer Report

  • Membership down a little from last year.
  • Have gotten no $$ from Space Age…did our deal expire?  Leslie will check gently.
  • But – spending is also down, so we’re doing ok with overall $$.
  • Also – checks came from Active that were addressed to our old office.  Someone needs to check Active to make sure our data is right.

Trophy Race – October Race

  • Comments about the race:  keep it for next year?
  • Course not a favorite
  • Race directors did a good job of marking the course
  • Some people got lost getting to the start; make sure the directions are right next time, Dave C….
  • This is a good location until we can return to Waterton.
  • Volunteers needed like always
  • Course 9 Mile and 5K

Schedule for next year

  • Problem with April – Saturday the 6th makes it hard on Stephanie and Brian.  Better to move it to Sunday the 1st.  Agreed.
  • MTS – Denver Marathon moved to Sept 23.  Do we still do 3 of them?  
    • Issues:  want to be three weeks ahead of key marathons…but that’s the day of Denver
    • People should look at the calendar and David’s proposed dates and come with a solution for next meeting.

 

RMRR Father Day’s Mile – City Park Friday June 15th  – Deb

Ray and Deb working hard on this.

  • Sponsors – can get goods more easily than cash.  Cash often requires a charity involved, and we don’t qualify.
  • Idea of forming a series of 1M runs with the other local mile runs.
  • Deb has talked with Zing tea
  • Want to have food afterwards
  • Need roughly 200 people to break even with Deb’s budget.
  • Want to have age group awards and merchandize awards for high school students
  • Timing through Mike Vanoni – $650 flat fee for up to 250 people, then $1 per person.
  • City park – busy the Friday night we wanted, so team is looking at other ideas.

Board approves doing the race, chip timing, etc.  Deb and Ray can run their plan.

Strategic Plan – Dave C

  • What are the Columbines doing that gets them going?  Leslie isn’t sure why; the woman/runner combo is important
  • Distance Divas – additional marathon training program that costs $40.  They have
  • What if…we get teams of people to lead some of these?

People like the idea of the plan, but need to focus more on community.  Since we need lots of members to engage, need to get their involvement in plan, perhaps?  Good to have a meeting where more people can come and comment.  Have food there, people will come.

Dave work on community aspect, then consider when we can have a meeting and invite other members.

Shirts

Dave’s work on the shirts paid off – they look fantastic.  He and friends will wear theirs to New York.  We’ll figure how to make these available to everyone else soon.

October 2011 Board Meeting

Whole Foods on Colorado Blvd – 26 September 2011  7pm
Members present:  David Rothenburger, Eric Greene, Jeff Olson, Bob Basse, Lisa Champeau, Hilarie Ryals, Mike Quispe, Dave Cunningham

Treasurer:  No report – our treasurer is gallivanting around the world.  We just hope she’s not using the club accounts to fund it.

Trophy Series – September Race
Race was good, but attendance was poor.  Not clear why that’s the case.  Had the 20M MTS the next day; was that a problem?  Also Labor Day weekend.  Something to consider for next year.

October Trophy Series
October 1 at the Cherry Creek Trail, Cottonwood Park in Parker.  Bob Basse and Eric Greene are directing.  They need to connect with Stephanie about the van; think the van and timers are still at Stephanie’s house.  Bob will work with David to get the van and get everything set.  Volunteers:  not sure where we stand. but David and Bob will check with Stephanie.

Marathon Training Series
Last one on Sunday Sept 25.  Stephanie and Cheryl Riley managed the race.  Relatively good turnout, good mix of 10 and 20M runners.

November Trophy Series
On the MTS course in Westminster – 9 miles and a 5k.  We moved the date to Sunday Nov 13 because of the NY marathon the week before.
Race director – Jeff Olson willing to be a codirector, but needs someone else to help.

Volunteer of the Month – Mick Vollmar for marking the MTS courses.  That’s a big help for the directors!

Social Activities / Marketing

– Wed Long Runs – still going on, decent turnout.

– Track Workouts –  Thurs at 6:15 at Lincoln High.  Oscar Ponce has been helpful – perhaps way to do more with him next year?

– Denver Marathon Water station.  Have about 25 people signed up, need 40-45.  Dave is sending more email and pushing people to register.  Reminder:  we’d like to get any extra cups and energy powder if we can.   Dave will ask Alan Culpepper what might be available.

-Other group Runs?  Eric gets email from people who want to run with groups.  Something for us to work on for next year?

Shirt Designs
David has 4 designs for the front, use the regular design on the back.  Want to know who’s coming from a distance.  Lisa Wilson did these.  Wondering if there are other treatments that might be neat.

Club Focus for 2012
Dave C talked about agreeing on a set of goals and 3-4 main focus areas for the club in 2012.  We discussed our feelings of waning excitement and involvement in the club and how there are so many ways people can do running things with others today (Irish Snug, for-pay coaching clubs, etc.).  Want to have a few things to focus on with people leading each one and responsible for the outcome.  Examples of possible focus areas:  Father’s Day Mile; new member involvement; overall marketing; club races; group activities.

We generally agreed that having focus like this would be good.  Dave will write up some ideas and send out to the board in the next two weeks, and then we’ll decide when we want to discuss.  Maybe next board meeting?

Race Schedule 2012
David’s race schedule for 2012 is firming up, but some things still TBD.  Do we want to do a Stone House run again?  Also heard that Denver Marathon may move to September next year – that will impact us and the fall MTS.

MRR Board mtg:   8/1/11

Attendees;  Dave Cook, David Rothenburger, Hilarie Ryals, Stephanie Struble, Eric Greene, Bob Basse, Leslie Mitchell, Deb Cunningham, Brian Bergevin.

  • Treasurer’s report:  Income from membership is about on par with past years.  Space age, each month, we had been getting $300-$500/month.  This month, received $1000.  Leslie wonders if that is a   mistake.  Expenses are up:  race expenses.  
  • July race:  people liked the venue.  Fees = $2/head + another entity wants $56.  Next year, we’ll try to get into Potts’ schedule, so the $2/head is waived.   David will ask Janet to follow-up.  We don’t have to rent a porta-potty, so that saves us money.  
  • August TS:  Short on volunteers.   May need runners going at 0:00.  Brian & Stephanie will purchase food at Costco.  We’ll get less than last year.  Lots of forks, knives, charcoal, and aluminum foil pans, spatulas.  Need paper plates, soda pop.
  • MTS:  Westminster City Park.  RD, Mick Vollmar has set up the course the day before in prior years.  Each race is 10 or 20 miles.  Gu will be the sponsor.  Prizes for top 3 in 20 miler, winner of 10 miler.
    • 8/28 Tim Gentry = Application is from Spring, 2011.   Deb change it out.
    • 9/11 or 9/25.  No RDs.  Deb can do one of these.
    • Ad for MTS – Scott’s ad should include the 7:00am start time.  David will try to get the race in the Post.
    • David print aps.
  • Vol of the month = Tom Mates.
  • Marketing discussion:
    • Dave and Hilarie met to discuss marketing.  How do we attract & retain members?  Lots of new social member clubs – Irish Snug, many pubs, paid clubs- Fast Forward.  Free clubs like DTR.
    • There is usually a point person for new runners.  Hilarie volunteered to be new runner manager.  Hilarie is looking for board approval for this role.  Yes, approved.
    • We are a racing club.  Not a club to coach new runners.
    • The 5k option is unique.
    • How do we utilize facebook and website and sync them up.
    • Café press is an on-demand site that can print logo merchandise.
    • Dave C will organize one event/month.  Yes, approved to do so.
  • Check w/ East HS about track after August – Deb.
  • Wed runs – get 4-8 people.  Keep doing it.
  • 2012 schedule:  David looking for comments.
