RMRR Board Meeting July 2012

In Attendance:  Stephanie S., Dave & Deb C., David R., Ken, Eric Green, Jeff Olson

Treasurer’s Report

  1. Membership revenue is up in both regular memberships, as well as Space Federal Credit Union memberships.  We received $510 from the credit union in June. This is a big turnaround from last year.
  2. We continue to receive small amounts of revenue from Brand Evolutions (merchandise income).
  3. I show the revenue from the Father’s Day Mile to be $2,035.  This is similar, but not exactly what Deb has.  My guess this is due to cash payments.  I’ve counted $500 of cash from the cash box to be FDM, and it’s possible that there was more revenue that is technically still in the cash box.
  4. Similarly, on the expense side, I show the FDM expenses to be less than what Deb has.  Once again, I’m guessing it’s cash.  We both come up with an almost identical net loss of almost $1,400.
  5. YTD we have a net loss of $1,443

Trophy Race – June 4K – Bible Park

Everyone thought the race went well, but the distance markers on the course were confusing

Results -Trophy Race: David C got the issue with the scoring resolved.

Part of the griddle were missing when trying to return it to the rental place.

Father’s Day Mile

Deb:  went better than thought it would go, but the club lost money on the race.  Had 77 runners that ran the race.

Comments: The board will decide in the future if we want to do this race next year.

Trophy Series Race – July 8 am – 2 mile at Stone House

Race directors Scott K and David R

  • Volunteers: Need more non race Volunteers.  Tom & Rosalie are the only 2 non race volunteers that are signed up for this TS Race.
  • Race course: New course, the start/finish line will be in different location.
  • Other race issues: No water station needed for this short race.  Will not need any course marshals, but will need people for the finish line.

Raffle:  have two entries for Denver Marathon and one for Sand Creek half.  Do we want to consider a $5 Raffle for give away?  Decision:  Give one away in July & one in August.

Marketing

updating what’s seen on the Colorado Runner website, no other activity.

Fall Marathon Series

  • 3 MTS races, Dates are as follows:  Aug 12, 26, & Sep 9th. Will be at Westminster Bike Path.
  • Janet F, Nick, & Deb will direct one of the 3 MTS races.

Track

  • Wed – North High 6:15pm  32nd and Federal
  • 15 to 20 people are showing up.  City says no bathrooms open for summer; there is a portapotti, but it’s on the baseball field behind a fence.  No ideas for solutions….

Other Issues

No race director for the August TS Race.  We only have a permit for the pavilion where the picnic will be, so registration will be there as well.  Dave C will ask Jason Worrell and Rob Sanchez if they’re interesting in directing with him.

March Race
– Good, but need to have race director at the start to help with issues (like the falling-down start line) 

 
Volunteer of the Month Nominees
– Tina Akin – helped a lot over time, but never recognized.  Winner.
– Pete Szymanski – has been helping at finish line a lot since he’s not running
– Scott Dailey – lots of help, gets his daughter to join in
– Rob Sanchez – want to encourage his spirit and drive!  Waterton run was great.
 
Marathon Training
37 10M,
37 20M
82 signups. 
3 memberships
 
Had to delay start because of bathroom line.  Get another portapottie?  at least $100, and starting late not such a big deal…or is it?
We need to have more gels available at all stops, keep 10M runners from taking them home
Also good to have water and gels on separate tables so faster runners can grab easily.
 
Still – all agree it was a well-run race, good day.  Nice job David R!
 
Fathers Day Mile
– sponsor can’t support full $1500, only $750.  Do we do shirts?  Club would lose roughly $500 if we had 200 entrants.  Board agrees yet.
– light blue shirt.  Plan is to get 15-20 to stock at RR Denver for registration;
– David has marked the course and is working on certification.
– Might Rob want to look for sponsors?  Dave C talk to him.
 
 
Marketing
– Dave plans to engage Rob to help with event calendar

Colfax Marathon – what will we do at the tent?  just a gear stop…but why not have club info, have registration stuff for FDMile?  Need to have someone work on this
 
Mike Knipps donation of $100 – how to use it?
– credit card reader?  Scott will look into what this would cost to buy and use
– sponsor track workouts for the year?  $100 is our cost for the year, and this is a nice thing to honor Mike for.
 
Club clock problems – what do we know about the battery?  Are we supposed to leave it plugged in?  See if I can find something online.  Stephanie to check for manual and see if it says anything.

Treasurer’s Report
  • about $800 from same time last year.
  • Up some from new memberships
  • SpaceAge FCU – think they owe us some $$; held up by database changes there
February Race
  • good turnout
  • nice to have post-race at the bar
  • concern that we’re intruding into Carson park proper, so we’ll see if we can use the course next year.
  • Leslie noted that having the 5k go an opposite direction is good – lets 5k runners go without being sad about people going the entire TS distance.
March Race
  • Ken and Janet ready to go
  • Short on volunteers for finish
  • have 3 entries for different races for the raffle

Fathers Day Mile
  • David and Mike ran a few different courses around the Pavilion.  Trying to keep start and finish close.
  • Start and finish will be slighly west of the pavilion.  Can’t get them much closer together.
  • Need people to help with sponsorships.  Who can do this?  Not having much success with sponsors so far –

Track 
  • starts in April 4 – first Wednesday
  • will have a scaled back workout for slower runners

Leslie
  • wants to invite Columbines to one of our races.  Invite them to a race with a 5k and longer version.  Board agreed to this, Leslie to talk with Katie and see what would work best.
 
New Member Program
  • Want to make people feel welcome
  • giveaways – magnet and keychains
  • listing next races on new member letter
  • Getting people to greet people after the race
  • Want a new member page with membership
 
Eric – Membership
  • Eric needs a new printer.  Board authorized up to $200 for printer and supplies.
  • Ask Adam Lee – how long do “membership expired” tags show up?  can we extend that?
  • work on the email list on website issues
