February 2 2015 Board Meeting – Minutes

RMRR Board Meeting 2 February 2015

David, Dave C, Deb, Michael, Lisa W
Cunningham House

Date & Time: Monday, February 2, 2014; 6:30pm

Secretary: Anne Gross

In Attendance: Dave Cunningham, Deb Cunningham, Maria Lepage, David Rothenburger, Lisa Champeau, Scott Newman, Jimmy Funkhouser, Hilarie Ryals, Janet Fairs

1. Treasurer’s Report

Leslie report in email

2. End of Year Banquet

Attendance issue?

Why do people attend other banquets and not this one?

Market it better, rough marketing at the January race because of the cold

Dave was volunteer of the year

David was Ric Robinette Resolute Runner of the year

3. Trophy Race January

Bathroom issues – how can we avoid what happened with there being no restrooms?

Other than it being cold, at least it was plowed and relatively safe

4. Trophy Race February

Deb went out to preview the course

Out and back 3 1/2? Where will the start/finish be, we can’t have it right on the path

Set for being inside, a few raffles from the bar

Stephanie sent out email about volunteers, not sure where we stand

5. Parking for March Race

Wheatridge high school – Not convenient!

Could we start at the north of the park instead and get a porta-potty? We don’t have to pay for a permit, we just have to give them a damage deposit

Should we look for something else for 2016?

6. Volunteer of the Month

From Stephanie: “As for volunteer of the month, the non running volunteers at January’s race were Larry Mudron (got VOM award last August), me (previous recipient), Rochelle, Sharyl Riley (VOY a year ago).  As far as i can tell, Rochelle has not ever gotten the YOM award so I would nominate her. Olga also helped out a ton, doing registration and then finish line after running the 5k.  I do not have her as having gotten the award in the past few years.  Because I do not believe she has gotten the award since 2011, I would nominate her – she helps out all the of the time.”

Deb: “Brent & Teresa Jockers for bringing tent and heater.”

Voted on Brent & Teresa

7. Marketing

Posting the photos of the race increased our likes, and reach considerably

Colorado Runner Magazine Ad ready to run

New runners – 10

Making sure members are active and liking

Facebook Page instead of group is definitely the best route to go from a marketing standpoint

8. Goals for this Year

Deb:    Page to document all courses (David hesitant to make it available so people might steal)

-control access, password protect? google docs? Aside from course maps, Janet’s permit information, can we make this available? David a little hesitant, Deb stating that we need it available in case David is not available. Dave suggests setting it up in a controlled setting that is accessible, but restricted – then showing it to David to ensure that he feels comfortable with how it is provided.

**End goal:   One location so that each race director can easily get a link and start planning.

Recruit Junior Race Directors Need to get a list of Race Directors in order to match up some Juniors. David will make that available.

-Race directing can be daunting, make it more accessible, make Junior Directorship a step into full on Race Director. Tell people about the benefit of being a Race Director, helps folks get involved.

9. MTS

Starts March 29

On Active, it’s in the ad

How can we get registration up?

Partnering with a Marathon to be an official group

We are an official run club for the Colfax, Lisa will contact Rich to see if we can post a discount offer on the Colfax site. Try and get a more prominent place with registrants.

**Action:       Lisa – to talk to Rich who runs the Facebook page.

Dave – get info to Lisa about MTS so she can share with Rich

10. Trophies for 100 Races in a Row

Plaques for people who have completed X amount of races in a row

Hilarie: Milestone plaques, 5 years, 10 years, etc.

Certificates? Tshirts? Socks? Something different at each milestone?

**Action:       Hilarie – list of people at their milestones

11. Gift Ideas

Keep in mind for next year

12. Store Presence

Jimmy: sent out email looking for store representatives, received over 40 replies

-need the information

-will send out an email to the respondents prior to Sunday with instructions, then will distribute print items to the reps on Sunday

-all stores covered, except for Boulder stores (however, Jimmy could cover those)

-monthly reminder email about stopping into the store

**Action:        Dave – email info to David to review, so we can get the material to Jimmy by Sunday

Hilarie – send files to David

13. Other Ideas

Building other relationships?

Restaurants, breweries?

Weekly runs in conjunction with another group? Like BRC?

Making Track Workouts social, growing it, but how do we account for the faster vs slower runners

Try and find someone who lives in the location and determine a place to go afterward

**Action:      Jimmy – Strava running group, can cross-pollinate with Facebook

Side note: Michael has taken care of the car emissions, registration, etc.

Jan 25 Banquet!! Annual RMRR Awards and Fun Banquet!!

Hey, RMRR friends.  The annual RMRR Awards banquet will be held on Sunday evening January 25.  Everyone with 15 or more volunteer hours gets to attend FREE, and if you weren’t able to get in that many hours, it’s around $15 for dinner.  We hope you’ll join us!  We’ll be at the clubhouse of the Homestead Golf Course in Lakewood, and you should plan to arrive between 5:30p and 6p.  I believe dinner starts at 6:30p.  We’ll have veggie and meat choices, and there is a cash bar.

We have a lot of fun during the banquet.  We honor all of our award winners:

  • Trophy Series Winners from 1st to 20th place
  • Fastest Female, Fastest Male
  • Volunteers, including Volunteer of the Year
  • Race Directors

and we also have a slide show with all of the pictures taken at club events over the past year.  It’s a great way to remember the fun we had during 2014 and celebrate those winning awards.  We hope to see you there!

If you’re interested in joining us, please RSVP to volunteer@rmrr.org and let us know how many people are coming and your choice of veggie or meat entree.  We will accept cash and checks at the door, but we need to plan numbers, so please let us know if you’ll join us!

Directions
